NB: If you have been using a Pocket Toniq device move onto Step 2



Step 1: FULL Shop Stocktake – Counting Stock (OVER A PERIOD OF TIME, SHOP OPEN)


  • From the main menu of Retail select 2 [Stock Control], 4 [Rolling stocktake] 
  • Press ENTER, check if there is already an ‘Entire’ or ‘All Stock’ stocktake (or similar) and select if available.
    If one does not already exist press F3 [Add] and type in a Name, perhaps Entire Stocktake or All Stock
  • Set the Sort Order by pressing spacebar in this field. The best option for this type of full stocktake is Department/Description
  • Set In Stock or sold within, perhaps to 90. This will limit the stocktake to items that are currently in stock or have been sold in the last 3 months
  • Set Number of Items in Roll. Make this something manageable that can be completed in a short time frame, such as 88 (A4 paper shows about 44 lines per page, so 88 would produce 2 worksheets at a time)
  • Press F12 [Accept Details] (This will bring the stocktake roll to screen)
  • Press F9 [Work Sheet] to print out the worksheets
  • Press F12 [Accept Stock] and 1 [Accept stock changes & exit]


Return to the stocktake roll, adjust & roll on


As each set of worksheets are completed for the roll you need to update Toniq asap. 


  • From the main menu of Retail select 2 [Stock Control], 4 [Rolling stocktake] 
  • Press ENTER and select the correct stocktake from the list displayed.
  • YOU MUST SELECT THE SAME NAMED STOCKTAKE YOU PRINTED WORKSHEETS FOR.
  • Do NOT make any changes when the initial stocktake criteria is displayed on screen, simply press F12 [Accept Details] 
  • This will re-display the products on your roll / worksheets
  • Move down the page, correcting SOH figures as you go
  • Press F12 [Accept stock] and 3 [Accept all stock, roll stocktake & carry on]
  • Print the worksheets for the next roll, F9 [Worksheet]
  • Press F12 [Accept stock] and 1 [Accept stock changes & exit]


Repeat the above ‘Return, Adjust and Roll’ process until all stocktake ‘rolls’ have been finished & SOH updated. You will receive a message, when ‘rolling’ the last roll worksheet, “Stocktake for [stocktake name] is now finished”.  This means the stocktake has been completed and you can move onto Step 2.



Step 2: Checking for items that have missed Stocktake


  • From the main menu of Retail, go into 2 [Stock Control], 4 [Rolling stocktake] 

  • Press ENTER, check for a stocktake called ‘Missed Stock’ (or similar) and select if available.

    If one does not already exist press F3 [Add] and type in a sensible name, ie Missed Stocktake

  • Set the Sort Order by pressing spacebar in this field, ie Department/Description

  • Set In Stock or sold within, perhaps set this to 120. This will cover all recent stocktake activity (plus a few days buffer)

  • Enter a value into No stocktake since (days) field, perhaps 30 days. This figure should cover the full period over which you have been completing your stocktake.

  • Tick Include Hidden

  • Set the No of items in roll to 88  (or a suitable figure – see notes in Step 1)

  • Press F12 [Accept details] to view the products that were missed

  • Press F9 [Work Sheet] to print out the worksheets

  • Press F12 [Accept Stock] and 1 [Accept stock changes & exit]

  • As stock rolls are checked complete the “Return to the stocktake roll, adjust & roll on” process from page 1.


Once all worksheets have been completed you will receive a message when ‘rolling’ the last sheet “Stocktake for [Missed stocktake] is now finished”. Your stocktake is complete and you can now produce a Stock Valuation report.



Step 3: Getting a valuation


  • From the main menu of Retail, go into 6 [Reports], 1 [Product Reports], 4 [Stock Value]

  • Press ENTER, look for a report called “All Stock” (or similar) and select if available

    If one does not already exist press F3 [Add] and type in a suitable name, ie All Stock

  • Tick Subtotal beside Group (or Department). This will list the totals for each group/dept and a grand total (rather than each individual item)

  • Tick Include Hidden

  • Tick Totals Only

  • Press F11 [Page 2] and tick Show Weighted Average and Last Cost Values, or choose the comparative option you require (1,2,3 , 1,6,12 or 6,12,24)

  • Press F11 [Page 1], F12 [Accept Details] and F12 [Print]


It is more efficient and effective to do many smaller stocktakes throughout the year, narrowed down into group, department or product ranges. This makes sure that different areas of the shop are always being checked and allows you to ‘keep in touch’ (so to speak) with your stock on hand.
